Your Information Matters

Privacy & Confidentiality Policy

Newbry Ledger Co. LLC
Effective Date: November 1, 2026

Newbry Ledger Co. LLC (“we,” “our,” or “us”) respects the privacy and confidentiality of clients and website visitors. This policy describes the information we may collect or access, how we use and safeguard it, and when we may share it.

1. Information We Collect

Depending on the services requested, we may receive contact details, business information, bank statements, transaction histories, accounting reports, invoices, receipts, vendor and customer records, payroll-related information, homeowners association and property management records, and communications submitted by email or through our website.

Our website inquiry form prepares an email in your email application rather than submitting the form directly to a website database. Please avoid sending account passwords, full payment card numbers, or other highly sensitive credentials through ordinary email.

2. Confidentiality of Client Financial Information

We treat client financial and business records as confidential. We do not sell or rent client information or disclose client financial records to unrelated third parties for their own marketing. We share information only when authorized by the client, reasonably needed to deliver contracted services or operate our business, required by law, or necessary to protect legal rights or address suspected fraud or security incidents. Our confidentiality commitments continue after services end, subject to applicable legal requirements.

3. How We Use Information

We use information to respond to inquiries; provide authorized bookkeeping, reconciliation, reporting, HOA, property management, executive assistance and administrative services; communicate with clients and vendors; maintain billing records; and meet legal or contractual obligations. We do not use confidential client financial records for unrelated marketing without appropriate authorization.

4. QuickBooks Payments & Saved Payment Methods

Eligible credit card, debit card, and ACH payments may be processed through QuickBooks Online Payments, provided by Intuit. Where supported, a customer may authorize a payment method to be saved through the payment provider for future use. Newbry Ledger Co. does not independently store complete card numbers or bank account credentials on this website. Payment providers process information according to their own applicable terms and privacy practices.

Saving a payment method does not, by itself, authorize additional charges. Future or recurring charges require appropriate customer authorization, including any authorization required for ACH payments. Clients may contact us about updating or removing eligible stored payment methods.

5. Third-Party Software & Providers

In delivering services, we may use authorized platforms such as Buildium, QuickBooks Online, Housecall Pro, and Buildertrend, as well as appropriate providers for email, document handling, website hosting, and business security. These independently operated services have their own terms and privacy practices. We take reasonable care in selecting and using providers but cannot guarantee their uninterrupted operation or absolute security.

6. Information Security

We use reasonable administrative and technical safeguards appropriate to the information and systems involved, which may include account access controls, password protection, multifactor authentication where supported, restricted permissions, and appropriate backup practices. No online system or electronic transmission can be guaranteed completely secure.

7. Security Incidents

If we become aware of a suspected or confirmed incident involving information under our control, we will assess the situation and take reasonable steps to investigate, contain, and address it. We will provide notifications when required by applicable law or contractual obligations. Incidents involving third-party platforms may also be subject to those providers’ response processes.

8. Client Responsibilities

Clients are responsible for providing accurate records, safeguarding their own accounts and devices, maintaining appropriate user permissions, and promptly reporting suspected unauthorized access. We recommend providing access through authorized-user invitations rather than sharing passwords.

9. Retention & Deletion

We retain records as reasonably necessary to provide services, meet legal and contractual requirements, maintain business records, and resolve disputes. When appropriate, records may be securely deleted, archived, or de-identified. Certain information may remain in backups or third-party systems in accordance with applicable retention requirements.

10. Privacy Requests

Depending on applicable law, individuals may have rights to request access to, correction of, or deletion of certain personal information. Contact us using the information below. Requests will be reviewed in accordance with applicable law and relevant retention obligations.

11. Third-Party Risks & Legal Rights

Electronic communications and third-party services involve risks that cannot be entirely eliminated. We do not promise absolute security or error-free operation of independent platforms. Responsibility for any incident depends on applicable law, the facts, and relevant contracts. Nothing in this policy limits rights or liabilities that cannot lawfully be limited.

12. Policy Changes

We may update this policy to reflect changes in services, technology, or legal requirements. Updates will be posted here with a revised effective date.
